Mail box and address


Does your mail arrive late or not at all? Indicate your post box number in order to facilitate mail delivery.

 
What?
To facilitate mail delivery a post box number was added to each work address. This number refers to the location where an employee wishes to receive his / her mail. Mail is only selected on post box number, not on address. The post box number has to be used on all mail or parcels addressed to KU Leuven staff or departments.
 
Why?
For all incoming mail (coming from outside of KU Leuven as well as from internal post) KU Leuven uses the post box number system. When the post box number is not clearly indicated on the mail, the sorting is less efficient and the mail might be delivered with a delay.
 
What to do?
Mention your post box number in your letterhead and signature at the bottom of your e-mails. To do so, go to Outlook and choose Message. Click on Signatures and New. Type in a name for the signature and fill in its text, then press OK. You can also choose when to use this signature or set it as default.
 
What is my post box number?
The numbers have been assigned as follows:

These numbers can also be found by using the Who-is-who that you find on the intranet. The address there displayed however is not the official address of the faculty (your employer), but the location of your office. Mail sent to that address arrives in the right place thanks to the post box number as mail is sorted only on post box number and not on address. Therefore it is necessary to always indicate the number of the post box in which you want to receive your mail.
 
What is my work address?
The one and only correct address of the Faculty of Theology and Religious Studies is Sint-Michielsstraat  4  and not  Sint-Michielsstraat 6. Please make sure to use the right number.
 
You can easily modify your address and phone number by using K.U.Loket. However, staff that has a contract with the International Office has to contact the Office to make changes. Should you have any questions on the matter, please contact your work address administrator Harlinde Bormans.
 
 
Please see to it that the address displayed in the who-is-who is your physical adres, i.e. the room you occupy every day. With this information, your visitors will know where to find you as well as emergency services in case of fire. 
 
An example to clarify the matter
Professor Jack Williams is an employee (ZAP) of the Faculty of Theology and Religious Studies and has an office in the library, room 00.05. His post box is situated in the staff room. This was already determined, he can not change it. Professor Williams wants to welcome his visitors in his office. He chooses which address to use:

--> As the official address of the faculty is mentioned, it is clear Jack works for the Faculty. Thanks to the post box number, the mail deliverer will know in which box the mail has to be put. This address is used in official correspondence.

Room 00.05
 
--> When this address is used, visitors will know where to find Jack. His mail will be delivered in the correct box because he mentioned the box number. This address is used in who-is-who and for visitors, as well as in an e-mail signature.
